A good quotation starts with a clear request. If a supplier has to guess the scope model, part size, or order quantity, the first answer may be slow or incomplete. A few useful details can save several rounds of email.
You do not need to write a long technical report. Start with the three groups of information below. They help us check compatibility, decide whether an existing part is available, and prepare a more useful quotation.
1. Send the complete scope model and part name
Write the brand and the full model number exactly as it appears on the endoscope. “Olympus gastroscope” is too broad. A complete model such as GIF-H190 gives the supplier a much better starting point.
Also tell us which part you need. Common names include insertion tube, biopsy channel, bending rubber, bending section, light guide tube, light guide bundle, valve, and coil pipe assembly. If you are not sure of the name, say where the part is located and what it looks like.
Do not remove letters, dashes, or numbers from the model. Similar models can use different diameters, lengths, connectors, or revisions.
2. Add clear photos and useful measurements
Photos are especially helpful when a part has several versions. Take one full view and two or three close views. Show both ends, connectors, markings, and any shape that may affect assembly. Use a plain background and good light.
If possible, include the main dimensions. Depending on the part, these may include total length, outer diameter, inner diameter, connector diameter, or the distance between key features. A photo beside a ruler is helpful for an early check, but a caliper reading or drawing is better when the fit is tight.

- Any model or batch markings
- Main dimensions and units
Remove patient information and confidential service records before sending any image or document.
3. Explain the order and delivery needs
Tell us the trial quantity and the expected repeat quantity. These numbers can affect the production route, minimum order quantity, and price. If you need one sample first, say so. If the part is for regular stock, share a rough monthly or quarterly need.
Also include the delivery country, required date, and any documents your company needs. For example, you may need dimensional inspection information, material details, batch identification, or quality-management documents from the manufacturing partner. Document availability depends on the product and production site, so it is better to confirm this before ordering.
